• Calendar information — event titles, attendees, dates, times, and descriptions when you connect a calendar provider.
• Meeting information — agendas, transcripts, AI-generated summaries, action items, and follow-up drafts.
• Contact information — names and email addresses of people you schedule meetings with.
• Usage analytics — pages visited, features used, session duration, and interaction patterns to improve the product.
• Device and technical data — IP address, browser type, operating system, and referring URLs.

We use the information we collect to operate, maintain, and improve Plumlly. Specifically, we use it to:

• Schedule and manage meetings on your behalf across connected calendar providers.
• Generate AI-powered meeting prep briefs, agendas, and talking points before your meetings.
• Produce AI-generated meeting summaries, transcripts, and action items after meetings.
• Draft and send AI-assisted follow-up emails to attendees.
• Synchronize events with Google Calendar, Outlook, and other connected calendar services.
• Send transactional notifications, reminders, and scheduling confirmations.
• Analyse aggregate usage patterns to improve product features and performance.
• Comply with legal obligations and enforce our Terms of Service.

We implement industry-standard security measures to protect your personal information. All data is encrypted in transit using TLS 1.2+ and at rest using AES-256 encryption. Access to personal data is restricted to authorised Plumlly employees on a need-to-know basis.

While we strive to use commercially acceptable means to protect your data, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security, but we will notify you promptly in the event of a data breach affecting your personal information as required by applicable law.

We retain your personal data for as long as your account is active or as needed to provide services. You may request deletion of your account and associated data at any time by contacting us at privacy@plumlly.com.

Plumlly integrates with third-party services to deliver its functionality. When you connect these services, their respective privacy policies also apply to the data they process.

• Google Calendar & Google Meet — calendar synchronisation, event creation, and video meeting links. Governed by Google's Privacy Policy.
• Zoom — video meeting link generation and scheduling. Governed by Zoom's Privacy Policy.
• Microsoft Teams & Outlook — calendar and meeting integrations for Microsoft 365 users. Governed by Microsoft's Privacy Policy.
• OpenAI — AI-powered transcription, summarisation, prep briefs, and follow-up generation. Meeting content may be processed by OpenAI's API. We do not use your data to train OpenAI models.
• Stripe — subscription billing and payment processing. Plumlly does not store full payment card details.

We will never sell your personal information to third parties or use it for purposes outside the scope of providing the Plumlly service.

Plumlly uses cookies and similar tracking technologies to operate the platform and understand how it is used. We use:

• Essential cookies — required for authentication, session management, and core platform functionality. Cannot be disabled.
• Analytics cookies — help us understand usage patterns and improve the product. Provided by services such as Vercel Analytics.
• Preference cookies — remember your settings, timezone, and UI preferences across sessions.
