Create your first schedule

Your booking page is your personal scheduling link — share it once and let anyone book time with you automatically. This guide walks you through setting up your first schedule from start to finish.

Go to Schedule
Navigate to Schedule in the left sidebar or bottom navigation. Click "New Schedule" to start building your first booking page.

Choose a meeting type
Select the type of meeting you want to offer: video call (Google Meet or Zoom generated automatically), phone call, or in-person meeting. Each type comes with different AI features enabled by default.

Set your duration
Choose how long the meeting should be. Common options include 15, 30, 45, or 60 minutes. You can also set a custom duration.

Configure your availability
Set the days and hours you are open for bookings. Plumlly reads your connected calendar automatically to block off times you are already busy.

Customize your booking page
Add a title and description so guests know what the meeting is for. You can also add questions to collect information before the meeting.

Copy and share your link
Once saved, copy your unique booking link from the top of the schedule page. Share it in emails, LinkedIn, or your website.
Pro tip: Enable AI Prep Brief on your schedule so Plumlly automatically researches your guest and prepares talking points before every meeting.

Connect your calendar

Connecting your calendar is the most important step in getting started with Plumlly. Once connected, Plumlly automatically reads your real availability and prevents double-bookings across every platform.

Go to Integrations
Navigate to Integrations in the sidebar. You will see all available calendar connections at the top of the page.

Connect Google Calendar or Outlook
Click Connect next to Google Calendar or Microsoft Outlook. A browser window will open asking you to sign in and grant Plumlly permission to read your calendar.

Choose which calendars to sync
After connecting, select which calendars Plumlly should check for conflicts. You can sync your personal calendar, work calendar, or both.

Set your working hours
Go to Availability and set the hours you want to accept bookings. Plumlly will only show your guests times that fall within your working hours AND are free on your calendar.

Test it
Open your booking link in a private browser window and check that busy times on your calendar are correctly blocked.
Pro tip: Connect both Google Calendar and Outlook if you use both at work and personally. Plumlly merges them automatically so nothing gets double-booked.

Invite attendees

Plumlly makes it easy to add guests to meetings, set buffer times between appointments, and automatically send confirmation and reminder emails so no one misses a meeting.

Share your booking link
Send your Plumlly booking link to anyone you want to meet with. They pick a time that works for them without any back-and-forth.

Guest fills in their details
When a guest books, they enter their name, email address, and any questions you have set up on your booking page. Plumlly sends them a confirmation email automatically.

Add a guest manually
If you want to book on behalf of someone, go to Schedule, open any meeting, and use the Add Guest field to enter their email address directly.

Set buffer times
Go to your Schedule settings and add buffer time before or after meetings. For example, add 10 minutes after every call so you have time to write notes before the next one starts.

Configure reminder emails
In your Schedule settings, enable automatic reminder emails. Guests receive a reminder 24 hours and 1 hour before the meeting with the join link included.

Track RSVPs
In your Meetings page you can see who has confirmed, who has not responded, and who has cancelled.
Pro tip: Use the AI Meeting Brief feature to automatically research your guest before the meeting. Plumlly pulls in their role, company, and recent activity so you always show up prepared.

Enable AI Notes

AI Notes is one of Plumlly's most powerful features. Once enabled, Plumlly automatically transcribes your meetings, generates a structured summary, extracts action items, and drafts follow-up emails — all without you lifting a finger.

Go to AI Notes
Navigate to AI Notes in the sidebar or bottom navigation. This is where all your meeting notes and summaries will appear after each call.

Enable transcription on your schedule
Open any schedule in your Schedule page. Under AI Features, toggle on AI Meeting Notes and AI Transcription. This tells Plumlly to record and process every meeting booked through that schedule.

Join your meeting normally
When your meeting time arrives, join the call as you normally would on Google Meet, Zoom, or by phone. Plumlly works in the background — you do not need to do anything special.

Review your summary
Within a few minutes of the meeting ending, your AI summary appears in AI Notes. It includes a full meeting summary, key decisions made, action items with owners, and a follow-up email draft ready to send.

Send the follow-up
Review the AI-drafted follow-up email. Edit if needed, then send it directly from Plumlly with one click.

Search past notes
Use the search and filter in AI Notes to find any past meeting by keyword, date, attendee, or meeting type.
Pro tip: Use the AI Prep Brief before the meeting and AI Notes after. Together they create a complete loop — you walk in prepared and walk out with everything documented automatically.

Share your booking page

Your Plumlly booking link is the fastest way to eliminate scheduling back-and-forth. Once you share it in the right places, meetings book themselves around the clock without any effort from you.

Find your booking link
Go to Schedule and open any schedule you have created. Your unique booking link appears at the top of the page. Click Copy link to copy it to your clipboard.

Add it to your email signature
Open your email client settings and paste your Plumlly link into your email signature. Add a simple line like "Book time with me:" followed by your link. Every email you send now gives recipients a one-click way to schedule with you.

Add it to your LinkedIn profile
Go to your LinkedIn profile and click Edit. In the Website section, paste your Plumlly link and label it "Book a meeting." Clients and prospects can now book directly from your profile.

Add it to your website
If you have a website or portfolio, add a "Book a call" button that links to your Plumlly booking page. This is especially useful for freelancers, consultants, and sales professionals.

Share it in proposals and documents
Paste your booking link into proposals, pitch decks, contracts, and follow-up emails. Instead of saying "let me know when you are free," you give them a direct link to book immediately.

Share via voice booking
You can also use Plumlly's voice booking feature. Say the meeting type, duration, and guest name out loud and Plumlly schedules it for you — no link needed.
Pro tip: Create different schedules for different purposes — one for sales calls, one for client check-ins, one for internal team meetings. Share the right link in the right context so guests always book the correct meeting type.
