Walking into a meeting unprepared is one of the biggest productivity killers in business. AI Prep Briefs solves this automatically. Before every meeting, Plumlly researches your attendee, pulls in relevant context, and generates a structured brief so you always show up ready — without spending a single minute on research yourself.

Enable AI Prep Brief on your schedule
Go to Schedule and open any existing schedule or create a new one. Under the AI Features section, toggle on AI Prep Brief. This tells Plumlly to generate a brief before every meeting booked through this schedule.

Add context for better briefs
When creating or editing a schedule, add a description of what the meeting is typically about. Plumlly uses this context to make the brief more relevant and tailored to your specific use case.

Review your brief before the meeting
A few hours before each meeting, Plumlly generates your prep brief and makes it available in the meeting detail view. The brief includes attendee background and role, company overview and recent news, suggested talking points, relevant context from past interactions, and a recommended agenda.

Access the brief on mobile
Open the Plumlly app on your phone before heading into a meeting. Your AI brief is available in AI Notes under the meeting. Review it in 2 minutes and walk in confident.

Use the brief during the call

Plumlly records, transcribes, and summarizes every meeting automatically, so you can be fully present in the conversation and still walk away with a complete record of everything that was said.

Enable AI Meeting Notes
Go to Schedule and open any schedule. Under AI Features, toggle on both AI Meeting Notes and AI Transcription. Do this for every schedule where you want notes to be generated automatically.

Join your meeting normally
When the meeting starts, join on Google Meet, Zoom, or phone as you normally would. Plumlly works in the background — no app to open, no button to press, no extra steps for you or your guest.

Notes appear automatically
Within a few minutes of the meeting ending, your notes appear in AI Notes. Every meeting generates a full transcript, a smart summary, key decisions, action items with owners and deadlines, and a ready-to-send follow-up draft.

Review and edit
Open the note in AI Notes and review the summary. The AI is accurate but not perfect — scan through the action items and make any edits before sharing.

Share the notes
Send the meeting summary to your attendee directly from Plumlly using the AI-drafted follow-up email. You can also copy and paste the summary into Slack, Notion, your CRM, or anywhere else you track work.

Search past notes
Use the search in AI Notes to find any past meeting by keyword, attendee name, date, or topic. Every meeting is indexed and searchable — no more digging through email threads or trying to remember what was decided three weeks ago.

Voice Booking

Voice Booking is the fastest way to schedule a meeting. Instead of opening an app, filling in forms, and clicking through steps, you simply speak — and Plumlly handles everything else. It is especially powerful when your hands are busy, you are commuting, or you want to book something in seconds without breaking your flow.

Open Voice Booking
Tap the microphone icon in the Plumlly app or navigate to Schedule and tap "Book with Voice." You can also access it from the Quick Book option on your dashboard.

Speak your meeting request
Say what you want to book in plain language — for example "Book a 30-minute video call with Sarah Chen tomorrow at 2pm," "Schedule a 1-hour sales call with James next Monday," or "Set up a quick phone call with the team Thursday afternoon." Plumlly understands natural language — you do not need to use specific commands or phrases.

Plumlly confirms the details
After you speak, Plumlly shows you a summary of what it understood — the meeting type, duration, attendee, and proposed time. Review it quickly and confirm.

Meeting is booked
Plumlly creates the meeting, sends the invite to your attendee, generates a video link if needed, and adds it to your calendar — all in seconds.

Go to Schedule and open any schedule. Under AI Features, make sure AI Meeting Notes is enabled. AI Follow-Ups are generated automatically whenever notes are available for a completed meeting.

Meeting ends — draft is ready
Within a few minutes of your meeting ending, Plumlly generates a follow-up email draft. You will find it in AI Notes under the meeting, labelled Follow-up.

Review the draft
Open the follow-up draft. It typically includes a brief thank-you for the meeting, a summary of what was discussed, the action items agreed upon with owners, proposed next steps or a follow-up meeting, and a professional sign-off in your tone.

Edit if needed
The AI draft is ready to send but you can personalize it. Add a specific detail, adjust the tone, or add a personal note before sending.

Hit Send from within Plumlly. The email goes directly to your meeting attendee from your connected email account. No copy-pasting, no switching apps.

Instead of just having records of individual calls, you get insights across your entire meeting history — who you meet with most, what topics come up repeatedly, how your time is being spent, and where you can optimize your scheduling workflow.

Go to Analytics
Navigate to Analytics in the sidebar or bottom navigation. This is your meeting intelligence dashboard showing data across all your meetings.

Review your meeting overview
The dashboard shows a high-level summary of your meeting activity: total meetings this week, month, and quarter, average meeting duration, most frequent attendees, most common meeting types, and busiest days and times.

Track action item completion
Under Meeting Intelligence, you can see how many action items have been generated from your AI notes and how many have been marked complete. This helps you stay accountable and follow through on meeting commitments.

Identify scheduling patterns
Look at the Scheduling Trends section to see when you are most and least busy. Use this to identify your optimal booking windows and block off focus time during your most productive hours.

Review meeting quality
Over time, Plumlly tracks meeting outcomes and sentiment from AI notes. See which meetings lead to the most action items, which guests you meet with repeatedly, and which meeting types generate the best outcomes.

Optimize your workflow
Use the insights from Meeting Intelligence to make smarter decisions about how you schedule. For example, if you notice most productive meetings happen in the morning, set your booking page to only offer morning slots.
